# How to set up rule Automate Translation in Transcy?

*Running a global e-commerce business shouldn't involve spending countless hours on manual translation. As customer demands evolve, manual processes become inefficient. ## I. What to know about Transcy's Automate Translation?

With Transcy's "**Automate Translation**" function, you can create smart **rules to Auto update translation without manually translating every single time you update new content**. Essentially, Transcy supports two types of languages:

* **Non-editable languages:** These are always translated automatically (**and can't be edited or changed**)
* **Editable languages:** You also have automatic translation combined with the ability to edit the translation. To activate "**Automate translation**" your target language needs to be "**Editable language**". || Automate Translation is designed for merchants on Regional plans and above, ensuring you have the scalability needed for expanding global operations.

You now have two distinct approaches to set up rule to automate your translation workflow, each designed for different business scenarios:
**Automate Translation**: Perfect for merchants who want granular control over their translation process within **Transcy's** interface. 
**Shopify Flow**: Ideal for merchants already using **Shopify Flow** for business automation. 
You can choose either the rule-based approach or Shopify Flow integration, but not both simultaneously. This ensures clear workflow management and prevents conflicts between different automation systems.

### How does Automate Translation rule actually work?
Once a rule is **published**, Transcy monitors your Shopify store for content changes. Here's how it works:
1. **Trigger** — Default content in Shopify is created or updated (e.g., a product title changes).
2. **Detection** — Transcy checks if the updated content matches any active rule.
3. **Translation** — Matching content is automatically translated using your translation engines.
4. **Update** — The translation is updated for the languages configured in that rule.

|| Important: Rules must be published to activate automate translation rule. Unpublished rules will not trigger any translation.

## II. How to set automate translations for editable languages?

### Step 1: Sync content from your Shopify store to Transcy

You'll need to complete a few extra setup steps to activate Transcy's "**Automate translation**". We will provide detailed instructions below:

The first step is to ensure your store's content is synchronized to Transcy. This process is crucial because it makes sure that all the latest content from your Shopify store is available for translation.

→ In the **Transcy,** go to **"Content translation"**
→ **Click the "Sync Content**" button

**Note:** While a manual sync is necessary, performing a full batch sync before every automated translation can be time-consuming. To save time and ensure your store always has the most up-to-date information, Transcy offers two types of automatic synchronization:

* **Real-time synchronization**, which instantly updates new content.
* **Scheduled synchronization**, which syncs content at predefined intervals.

### Step 2: Automatically translate your synced content

Once your store's content is synchronized, the final step is to set up automated translation rules. And Transcy offers two main rule-based approaches:

#### 1. Manual content selection method

**When to use:** This straightforward method gives you complete control over the exact content you want to translate. It works perfectly when you have a **one-time translation** need, such as launching a new product for a campaign or translating specific blog posts for a particular market.

To use this method, you'll first create a rule and choose a single resource type to target. Each rule can only target one resource type.

→ In the **Transcy,** go to **"Content translation"**
→ Look below and navigate to "**Translation automation**" tab, click "**Create rule**"

→ In **"Create automation rule"** box, first choose a **rule name**, then select a resource from the "**Resource**" dropdown.

You can also apply automated translation rules to one or multiple markets by clicking "**Applicable markets**", then choosing from the markets you've below. You have the option to select individual markets, multiple markets, or select all markets at once

**Note:** **Transcy supports creating automate translation rules** for all resources: **Products, Collections,Themes, Blog posts, Pages, Navigation, Preferences, Payments, Shipping and delivery, Notifications, Integrations, Metafields, Policies, Metaobjects.**

→ In **"Item to translate"**, choose "**Specific items**" and click "**Add**".

→ Then the item list of the chosen resource will appear, **select the item** you want, and click "**Apply**".

After selecting a resource type and item, you can choose an automation option of **"Default Setting"** or **"Customize Translation Engines"** to assign specific services to different content types and languages, which helps you optimize quality and cost.

* **Default Setting**: Translates with previously used engines. Pages without prior AI translations will default to Google Translate.
* **Customize Translation Engines**: Assign specific engines to different content types and languages to optimize translation quality and cost.

With "**Customize Translation Engines"** you'll configure your preferred translation engine for each target language. You can set a specific engine for each target language:

Or you can choose one engine for all automatic translations:

#### 2. Condition-based automation method

**When to use:** This intelligent approach is perfect for **ongoing automation**, as it automatically identifies content for translation based on criteria you define.

Just as with the manual method, you'll begin by selecting a **resource type** and configuring your **translation engines**. Then, click "**Matching conditions**":

Once you've done that, you can set up powerful conditions for different content types:

* **For Products:** Automatically translate products based on their status (e.g., active or draft), category, specific tags, or collection membership.
* **For Blog Posts:** Translate posts based on their visibility or by targeting specific categories (like news or tutorials).

**Pro tip**: When you set up conditions for blog posts, their categories are automatically translated at **no extra quota cost**, ensuring your blog structure stays consistent.

* **For Pages:** Choose to translate pages based on visibility or a specific template they use (like product pages, landing pages, or informational content).
* **For Collections:** Target collections that use a specific template to ensure consistent presentation across all languages.

**Note:** For other resource types, you might not have many conditions to choose from, as each resource has its own specific characteristics.

You can also apply your translation rules to future added items by clicking on **"Include future items that match these conditions"**. When you select this option, the system continuously monitors your store for new content that meets your criteria and automatically adds it to the translation queue.

Transcy also includes **"Smart Conflict Resolution"** to prevent duplicate translations. If a piece of content already belongs to another translation rule, the app will notify you and let you choose which rule should handle it, saving you time and quota.

***Note:***
**Publishing your automate rules:** After creating automation rules, you must **publish** them to activate automatic translation functionality. This step is crucial – unpublished rules won't trigger any automation.

**Plan-based limitations:** Each **Transcy** plan includes specific limits for **Automate Translation**. Reference the [__Overview of Transcy Pricing Plans__](https://help.transcy.io/en/article/transcy-pricing-plan-1tsl3uz/) to understand your current limits.

**Reaching your limits:** When you hit your plan's limit:
* New rules cannot be activated until existing ones are removed or unpublished
* Consider upgrading your plan for higher limits
* **Alternative:** Purchase additional resource quotas to extend current plan capabilities

### Set Up Automate Translation Directly in Content Translations
Navigate "**Content translation**" menu in Transcy → Choose the specific-market and target language → Select resources to edit → Edit translation (pencil) → hover into your resources you want to edit → **Automate Translation** (**thunder icon**)

## III. Shopify Flow Integration

If you already run your store's automation through **Shopify Flow**, you can drive Transcy's translations from there instead of from Transcy's own rules. This suits merchants who want translation to happen as one step inside a larger workflow they already maintain.

|| **Important**: Shopify Flow and Transcy's in-app rules are mutually exclusive. The moment you switch to Shopify Flow, **all of your in-app automation rules stop running**. Transcy keeps this reminder on screen while Flow is active: *"In-app automation rules are disabled when Shopify Flow is active."*

**Where each part is configured:** this is the thing most worth knowing before you start.

* **In Transcy** - which translation engine handles which language.
* **In the Shopify Flow app** - the workflow itself: the trigger, the conditions, and the order of the steps.

You cannot build or edit the workflow inside Transcy, and you cannot set the engine inside Flow.

### 1. Turning on Shopify Flow

→ In **Transcy**, go to "**Content translation**" → "**Automate translation**"
→ Scroll to the "**Automate translation with Shopify Flow**" box and switch the toggle on

Transcy asks you to confirm, because your in-app rules are about to stop running:

|| **Switch to using Shopify Flow** - You are currently using Transcy's automation rules. If you switch to Shopify Flow, all your in-app rules will be disabled. Continue?

The first time you switch, you are also asked to confirm how automated translations are paid for - **Transcy tokens** - and to tick the agreement checkbox. The **Switch to Shopify Flow** button stays disabled until that box is ticked.

### 2. Choosing which engine translates which language

This is the part you configure **in Transcy**.

→ In the "**Automate translation with Shopify Flow**" box, click "**Edit**" next to **Automation options**

You have two choices:

* **Default settings** - translates with previously used engines. Content that has no prior AI translation falls back to **Google Translate**.
* **Customize translation engine** - assign a specific engine per language, so you can spend your best engine where it matters most. Use **Select engine** together with **Choose languages**, then **Add more** for the next pairing.

|| **Worth knowing**: with **Customize translation engine**, any language you do not give a rule to is translated with **Google**. If you are expecting a premium engine on a particular language, make sure that language appears in one of your pairings.

Click "**Apply**" to save.

### 3. Building the workflow in Shopify Flow

The workflow itself is built and managed in the **Shopify Flow** app. Transcy contributes the translation step; Flow decides when that step fires.

→ From the "**Automate translation with Shopify Flow**" box, click "**Manage**" to open the Flow app
→ In Flow, create a workflow (or start from a template), choose your trigger, then add Transcy's "**Translate content**" action as a step

Because the trigger lives in **Flow**, you are free to build whatever trigger and conditions your business needs

### 4. When the translations actually run

Translated content does not appear the instant the workflow fires. Transcy queues the work and processes it in short cycles, so expect a delay of **a few minutes** between Flow running and the translation showing up.

If something looks missing, there are two separate things to check:

* **Did the workflow fire at all?** Open the **Shopify Flow** app and check "**Recent runs**".
* **Did the translation land?** In Transcy, open "**Content translation**" and look at the translation status of the affected product or collection.

### 5. Switching back to Transcy's automation

Turn the "**Automate translation with Shopify Flow**" toggle off. Transcy confirms first:

Your in-app rules are not deleted while Shopify Flow is active, so you do not have to recreate them when you switch back.

### How do I pay for automated translations?

Transcy uses a single, straightforward payment system called **"App Wallet"**. To pay for automated translations, you'll first top up your App Wallet with **Tokens**. The system will then automatically deduct Tokens from your balance based on the word count of the content you translate. ### What happens if I exceed my quota or change my plan?

Exceeding your plan's quota or changing your plan affects your account and content as follows:

* **Exceeding your quota:** Transcy will automatically disable any additional content in your translation queue.
* **Upgrading your plan:** Your new plan's features and higher limits are available instantly. All previously disabled content and rules will become active again, and you can publish more rules for automation.
* **Downgrading your plan:** Any rules that exceed the limits of your new plan will be automatically unpublished. You'll need to manually reactivate rules and adjust your content selection to fit within the lower limits of your new plan.
